Festival season rewards the travelers who plan early. Lineups, lodging and flights tend to tighten at the same time, and the weeks around an announcement are when options are widest. This checklist walks through every booking and packing decision for a 2027 music festival trip, in the order you should make them.
Step 1: Lock the basics before you book anything
Decide four things first, because every later choice depends on them:
- Festival and dates. Confirm the official dates, gate times and whether the festival runs one weekend or two.
- Group size. Lodging, ground transport and dining reservations all scale with headcount.
- Total budget. Set a ceiling for tickets, flights, lodging, transport and food, plus a buffer for surprises.
- Flexibility. Know whether you can shift dates by a day. Flexibility is often the cheapest upgrade you have.
Step 2: Tickets, bought safely
Tickets are the one item that must be right. Buy from the festival’s official site or its named ticketing partner whenever possible.
- Check what each tier includes: general admission, multi-day passes, VIP or hospitality.
- Read the refund, transfer and name-change policies before paying.
- Use official resale or transfer tools if you buy second-hand, and avoid sellers who ask for payment outside the platform.
- Confirm age limits, re-entry rules and any wristband pickup process.
Keep screenshots of confirmations, but rely on the official app or wallet pass at the gate.
Step 3: Flights
Once tickets are secured, book flights with the festival’s schedule in mind.
- Arrive the day before gates open when you can. A buffer absorbs delays and gives you time to check in.
- Plan your departure for the day after the final set. Late-night exits and next-morning flights often clash.
- Compare nearby airports, and weigh the ground transfer time and cost, not just the fare.
- Check baggage rules if you are bringing camping or sound gear.

Step 4: Lodging
Lodging near a festival is the first thing to fill up, so decide your style early.
- Hotel near the grounds: the most convenient, and usually the earliest to sell out.
- Hotel in a connected neighborhood: often better value if shuttles or transit run to the venue.
- Short-term rental: useful for groups. Check the cancellation policy and any minimum-night rules.
- Camping or festival lodging: confirm what is provided and what you must bring.
Prefer free-cancellation rates while plans are still forming. Our guide on booking hotels near stadiums and arenas explains how to weigh walking distance against price and transit.
Step 5: Ground transport
Plan how you will get from the airport to your lodging, and from lodging to the gates.
- Check whether the festival offers official shuttles, and note their last departure times.
- Expect surge pricing and long pickup queues for rideshare after the final set.
- Rental cars add parking costs and festival lot rules. Confirm those before you commit.
- For groups or special occasions, a pre-booked private driver removes the guesswork.
Step 6: Packing list
Pack for the venue’s rules first, then for comfort.
- Required: ID, ticket or wristband access, a phone with a charged power bank.
- Weather: sunscreen, a hat, a light rain layer, and layers for cooler evenings.
- Comfort: broken-in shoes, earplugs, a refillable bottle where permitted, and a small clear bag if the venue requires one.
- Health: any medications, basic first aid, and electrolyte packets.
- Check the prohibited list. Many festivals restrict bag size, outside food, cameras and certain chairs.
Step 7: Dining plan
Festival food is part of the experience, but a plan keeps long days manageable.
- Eat a proper meal before entering the grounds, and plan one for right after.
- Reserve a table for the night you arrive and the night you leave, when restaurants near the venue are busiest.
- Have a backup option for late-night dining after the headliner.

Step 8: Build a weekend timeline

Final pre-trip checklist
- Tickets confirmed and accessible offline.
- Flights booked with a buffer on both ends.
- Lodging confirmed with a known cancellation window.
- Airport and venue transport planned.
- Packing checked against the venue’s rules.
- Dining reservations set for arrival and departure nights.
